Formal Letter Template: what it does

A formal letter should look like it came from a proper letterhead and fit the envelope without fuss. This template puts your name and address at the top with a short accent rule, the recipient’s address exactly where a window envelope shows it (the DIN 5008 window on A4, the #10 window on US Letter), the date and references beside it, and fold marks in the margin so the address lines up after folding. Write the letter, start the subject with “Subject:” and end with a signature line. Company details can go in a footer on every page. The PDF is made in your browser, so the letter and the addresses are never uploaded.

    How to use it

    1. Paste or type your text, or open a .txt or .md file. Add a title, subtitle, author and date if you like.
    2. Choose a template, font, colours, paper size and orientation. The preview shows the real pages as you type.
    3. Click “Download PDF”. Your browser’s print window opens.
    4. Choose “Save as PDF” as the destination and save. The text stays selectable in the PDF.

    Tips

    • Fill in “To” with the recipient’s name and address, one line each: it lands in the envelope window.
    • Start with “Subject: …” on the first line (or fill in the Subject field): it is set in bold above the greeting.
    • End with “Kind regards,” and then “:::sign Your name | Your role”, which leaves room to sign by hand.
    • Before printing a batch, print one page and hold it behind a window envelope: printers and envelopes vary slightly.
    • Fold along the marks in the left margin: in thirds for US Letter, at the two marks for A4 (DIN long envelopes).

    Frequently asked questions

Will the address show in my window envelope?

It is placed for the standard windows: DIN 5008 (20 mm from the left, 45 mm from the top) on A4 and the #10 window on US Letter. Windows and printer margins vary a little, so print one test page first.

How do I add a signature?

End the letter with a line like “:::sign Mira Holm | Project lead, Nova Studio”. It leaves space to sign by hand, then prints your name and role.

Can I add company details at the bottom?

Yes. Fill in the Footer field with up to three short blocks, separated by a blank line, for example the address, contact details and registration number. The footer repeats on every page.

    Is my letter uploaded?

No. The letter is laid out and saved as a PDF by your own browser. Your text and the addresses never leave your device.
